As the academic year comes to a close, it’s important to ensure that your chat system is reset and prepared for the upcoming year. Whether your chat channels are auto-created or manually managed, here’s what you need to know about the yearly chat restart. This article will show you how it works!

Auto-created channels and the yearly reset
If your organization utilizes the custom chat rostering engine, then your chat reset happens seamlessly.
- When the old Academic Groups in Group Manager are archived and new groups are uploaded, the system automatically recreates channels without requiring any extra action.
- This process is manually handled by support during the year-end procedures, ensuring a smooth transition with no additional lifting on your end.
Archiving manually-created chat rooms
For organizations that manage manually created chat rooms, such as Athletics, PTA, or other special groups, navigate to Chats explorer where you have control over archiving these rooms when the academic year ends.
Here's how to archive manually-created chat rooms:
Archive one-by-one
You’ll see an archive button for each manually created chat room, allowing you to archive rooms individually.
- Click in left navigation to open up the chat room you'd like to archive.
- Click the Archive chat room button that appears in the top right.
- You will see a window to confirm that this action is permanent and cannot be undone.
- The archived chat room will no longer appear in the left navigation list of all chats.
Important Note
If the Archive chat room button does not appear, it could be that the room was not manually-created.
Archive in bulk
A convenient bulk archive option lets you select and archive multiple manually created chat rooms at once.
- Locate the Archive selected chat rooms button in the top right corner. Click to open a new window.
- Check the box next to any chat rooms you'd like to archive in bulk.
- You will confirm that you understand that this action is permanent and cannot be undone.
- The chat room will no longer appear in left navigation
