Admin users are created and managed in Constituent Manager. Before reading this article, you'll need to have followed the steps in "Set up and configure the Admin Users module." Admin user groups are set up in the People Icon > Admin Users. Each member of an admin user group has the same rights and privileges to edit the site and its properties.
Now, you are ready to learn about all the ways you can manage those admin users on a day-to-day basis.
Create an admin user account
- Step 1: Go to the user's profile in Constituent Manager. If the user doesn’t have a constituent profile, create one first.
- Step 2: Go to the user's Account tab and click the green Create Admin Account button.
- Step 3: Select Create New Account from the radio buttons.
- Step 4: Use the dropdown menu next to Select Admin Group to choose an existing admin user group for this admin account to join.
Important Note
- Each admin user can only belong in one group at a time.
- On some sites, this dropdown is pre-selected for the Faculty admin group. Remember to choose the correct group!
- Step 5: If the user has a portal account, use the same username, or enter a username in the field. Use the radio buttons to either carry over the user’s existing password, or enter a new one.
- Step 6: The email address field will be populated with the address from the user’s constituent profile, but you can change it if you want.
- Step 7: Elect to send an email to the user containing the username and password for their new admin account, as well as instructions for logging in. Or simply share with your admin user to select "Forgot username or password" on the admin login screen (yoururl/admin) to create a password for the first time.
- Step 8: Click Link Admin Account to finish up. The new admin account will be created and visible on the Admin Users page.
Link existing admin user accounts
In some, though fewer, cases, an admin account may already exist in Admin Users, and it just needs to be linked to the constituent profile.
- Choose the Use Existing Account radio button at the top of the screen.
- Click Browse to open a new window with a list of active site admins, and select an admin account from the list.
- Send the new admin an email with their username, password, and login instructions or simply share with your admin user to select "Forgot username or password" on the admin login screen (yoururl/admin) to create a password for the first time.
Delete an admin account
Admin accounts are deleted from People Icon > Admin Users module.
- Find the admin user group that contains the user you want to delete.
- Select the del checkbox to the left of the user's name.
- With the checkbox selected, scroll to the bottom of the screen and click Save Group Changes. Any selected admin user accounts will be removed.
Move an admin to a different admin group
- Open Constituent Manager.
- Navigate to the user's account and click the Account tab.
- Click Move User.
- Select the new admin group to add them to.
Impersonate an admin user
When managing admin users, it's helpful to be able to impersonate, or "log in as" another admin user on your team. This allows you to:
- confirm the accuracy of permission levels
- see domains, pages, modules, and settings through the eyes and perspective of a particular admin user
How to log in as another admin user
- go to Constituent Manager > Account tab
- click the link log in as this admin user
- you will see a reminder that you will be logged out of your account
Now you can navigate around the platform and see exactly what this admin user will see when logged in.
Important Note
The only admin user group with the ability to impersonate another admin user is the main, highest level Site Administrators group, often labeled in the Admin Users module as "Administrators," though it may have been renamed.
Unlock admin user accounts
Admin users can be locked out of their account:
- when trying to login with the wrong password more than eight times
- when failing the reCaptcha more than three times
Admin accounts can be unlocked by other admin users from within Constituent Manager.
- In the Admin Users module, click the arrow next to the admin user's name and select Unlock User.
- Or, go to Constituent Manager then find the user's profile and click on the Account tab.
- Click the Unlock User link at the bottom of the page.
