Chat for community members: Security and privacy

This article covers the security and privacy protections in Finalsite Chat, including how content is moderated, how to report inappropriate communication, and what HIPAA and data protections are in place for community members.

💡Quick answers

  • How is Chat monitored for safety? Finalsite uses a hybrid moderation approach: AI-powered content filtering catches harmful content automatically, while district and school administrators provide ongoing human oversight.
  • How is an inappropriate message reported? Long-press the message, tap Report, and select a reason. School administrators are notified and can take action immediately.
  • Can medical or health information be shared in Chat? No. Finalsite Chat is not HIPAA-compliant. Protected health information should never be sent through the platform.
  • What happens if a user is blocked? Users who repeatedly violate community standards can be temporarily or permanently restricted from the platform by administrators.
  • Are deleted messages truly gone? No. Finalsite maintains an archive of all platform communications, including edited and deleted messages, for safety and compliance purposes. Administrators can request these records from Finalsite support.

Security and privacy in Finalsite Chat

Finalsite Chat is designed to keep all communications safe, secure, and private. Robust protections are in place to ensure community data is handled with care. See the Finalsite Privacy Policy for full details, or contact privacy@finalsite.com with any concerns.

HIPAA and health information

Finalsite Chat is not a HIPAA-compliant platform. Protected health information (PHI) as defined by the Health Insurance Portability and Accountability Act must not be transmitted through Chat.

  • For transmitting medical documents or health-related information, use a HIPAA-compliant database or secure email.
  • Request that sensitive health information be submitted through secure channels rather than through Chat.

Report inappropriate communication

Report a message

  • Long-press the message to open the quick menu.
  • Tap Report.
  • Select the reason for the report. District and school administrators are notified and can take immediate action.

How content moderation works

Finalsite uses a hybrid moderation approach that combines automated filtering with administrator oversight:

  • Active monitoring: District and school administrators provide continuous oversight of chat rooms and direct messages.
  • AI-powered flagging: Messages containing toxicity, threats, or inappropriate language are flagged by an AI model and queued for administrator review.
  • Immediate blocking: Messages containing profanity are blocked before sending, and the sender is notified of the violation.

What content gets flagged or blocked

  • Spam and promotions: Repetitive or promotional content unrelated to educational communication.
  • Personal information: Attempts to move conversations off-platform by sharing sensitive contact or identity information.
  • Toxicity and threats: Messages containing threats, insults, or attacks based on identity or protected characteristics.
  • Obscenity and explicit content: Sexually explicit material or vulgar language.

User restrictions and blocks

  • Blocked words: A list of prohibited words is managed by AI to prevent their use across the platform.
  • Blocked users: Users who repeatedly engage in inappropriate behavior may be temporarily or permanently restricted from the platform by administrators.
