Access and log into your Ask AI platform

This article covers how to log in to Ask AI, including how access is granted and where to find the organization's unique Ask AI URL.

  • Who can access Ask AI? An Organization Admin grants access in the Ask AI User Management tab. Ask AI accounts are created and managed inside Ask AI; they are separate from website or CMS accounts.

📌 Note: Access, role, and chatbot access are granted separately

All three are managed in the Ask AI User Management tab, but each is granted on its own.

  • Access means being added as a user in the User Management tab. Adding a user sends a Welcome email containing the organization's Ask AI URL and a link for creating a password.
  • A role (Organization Admin, Admin, or Viewer, assigned in the User Management tab) sets what kind of actions a person can take once signed in: manage settings and users, edit assigned chatbots, or view only.
  • Chatbot access sets which chatbots those actions apply to. Organization Admins have access to all chatbots by default; access for other roles is assigned in the Edit user window. See "Ask AI permissions" for the full roles and permissions table.

All three are independent; assigning one does not grant the others. Ask AI is a separate system with its own accounts and its own URL, so website and CMS credentials do not apply. Many Ask AI users are also admin users, but for a standalone Ask AI platform without the CMS, the only permissions are those in the User Management tab.

Getting started with Ask AI takes two things: access granted by an Organization Admin, and the organization's unique Ask AI URL. Both primary account holders and new users added to an existing team follow the same process.

Find the unique Ask AI URL

Every organization is assigned a unique identifier when the account is created. This identifier is the key to the organization's login page. All client URLs follow a standardized, unified format:

  • [identifier].ai.finalsite.com

Locate the identifier

The identifier can be found in the Welcome email:

  • Check the Welcome email. When an account is created, or when a new user is added, a Welcome email is sent automatically. The organization identifier is listed at the bottom of this email.

Log in for the first time

The Welcome email is the starting point for first-time access. It contains the organization's Ask AI URL and a link for creating a password.

  • Step 1: Open the Welcome email and click the link it contains.
  • Step 2: Create a password when prompted. This step is required only on first login.
  • Step 3: Bookmark the Ask AI URL for future visits.

Troubleshoot: Resolve a sign-in problem

Ask AI is a separate system with its own accounts, so sign-in problems are resolved within Ask AI rather than through any other Finalsite login.

  • No Welcome email. Check spam and junk folders first. Then confirm with an Organization Admin that access was granted and that the email address on the account is correct; the address entered when the user is added is the one the invitation is sent to.
  • The URL is not working. Confirm the address matches the [identifier].ai.finalsite.com format and uses the organization's own identifier from the Welcome email.
  • Password problems. Contact an Organization Admin for the organization, or submit a request to the Finalsite support team.
  • Access appears to have been removed. An Organization Admin can confirm whether the account still exists and re-add the user if needed.
