Upload Athletics Manager data in bulk

Use a datasheet template to upload athletics information into Athletics Manager. The datasheet includes five worksheet tabs: Teams, Rosters, Opponents, Locations, and Events. Each tab must be saved as a tab-delimited text file and uploaded separately. This article will describe the process.

  1. Open the template in your favorite spreadsheet software, such as Google Sheets or Microsoft Excel.
  2. Follow the Instructions in the first gray column. 
  3. Add data for each worksheet tab: Teams, Rosters, Opponents, Locations, and Events.
  4. Delete the Instructions column before downloading and submitting to upload.

Step 3: Download and save as .txt file

Save As a .txt file from Excel

Select File > Save As > Text (Tab delimited) .txt

Step 4: Upload the datasheet or submit to FS support 

Option A: Import the completed datasheets yourself using the instructions for each tab below.

Option B: Submit a Request to Finalsite Support. We'll update your site's database to include this information. 

Important Note

Since this upload does not use any form of import ID, it is considered a “one-time” upload. This means, if you attempt the upload again due to the fact you received an error the first time, the second upload attempt will create duplicates.


Upload teams:

  1. Go to the Athletics Manager Dashboard.
  2. Click the Upload Data button on the left.
  3. Choose Data Type Teams.
  4. Click Choose File*.
    *This needs to be the tab-delimited text file.
  5. Click Upload Data.
  6. Verify that the Uploaded Columns names match the Database Columns dropdowns.
  7. Click Review Data.
  8. Click Import Data Now.

After the Import Data Now button has been clicked, the page will reload and change the checkboxes in the far left column to OK.


Upload rosters

  1. Go to the Athletics Manager Dashboard.
  2. Click Upload Data on the left.
  3. Choose Data Type Rosters.
  4. Select the team for which you want to upload constituents, or leave Use team name from import file selected if the teams are specified in the datasheet.
  5. Click Choose File*.
    *This needs to be the tab-delimited text file.
  6. Click Upload Data.
  7. For Membership Action, select Append uploaded players to team(s) if the constituents should be added to the current roster, or Purge existing players from team(s) if the roster is going to replace the current roster.
  8. Under Role Validation, you can select a role from the dropdown list to check whether the constituent belongs to the correct role to be a team member, or choose Any role to skip this step.
  9. Verify that the Uploaded Columns names match the Database Columns dropdowns.
  10. Click Review Data.
  11. Click Import Data Now.

Upload opponents:

If you are uploading existing opponents in order to update fields, then you will need to make sure that the name of the Opponent in the datasheet matches EXACTLY the way it is spelled in the Opponents section of the Athletics Manager.

  1. Go to the Athletics Manager Dashboard.
  2. Click the Upload Data button on the left.
  3. Choose Data Type Opponents.
  4. Click Choose File*.
    *This needs to be the tab-delimited text file.
  5. Click Upload Data.
  6. Verify that the Uploaded Columns names match the Database Columns dropdowns.
  7. Click Review Data.
  8. Click Import Data Now.

After the Import Data Now button has been clicked, the page will reload and change the checkboxes in the far left column to OK.


Upload locations

Once the Opponents are uploaded into the Athletics Manager, they automatically are listed in the Locations section as well. Therefore, you will not need to upload the Opponents tab into the Locations section of the Athletics Manager.

If you are uploading existing locations in order to update fields, then you will need to make sure that the name of the Location in the datasheet matches EXACTLY the way it is spelled in the Locations section of the Athletics Manager.

  1. Go to the Athletics Manager Dashboard.
  2. Click the Upload Data button on the left.
  3. Choose Data Type Locations.
  4. Click Choose File*.
    *This needs to be the tab-delimited text file.
  5. Click Upload Data.
  6. Verify that the Uploaded Columns names match the Database Columns dropdowns.
  7. Click Review Data.
  8. Click Import Data Now.

After the Import Data Now button has been clicked, the page will reload and change the checkboxes in the far left column to OK.


Upload events

When uploading events, you should only upload NEW events. The upload will not update existing events located in the Athletics Manager. If you wish to update events, you will need to do this individually within the Athletics Manager. Existing events that are uploaded again will create duplicates in your Athletics Manager.

  1. Go to the Athletics Manager Dashboard.
  2. Click the Upload Data button on the left.
  3. Choose Data Type Events.
  4. Select the team for which you want to upload events, or leave Use team name from import file selected if the teams are specified in the datasheet.
  5. Click Choose File*.
    *This needs to be the tab-delimited text file.
  6. Click Upload Data.
  7. Verify that the Uploaded Columns names match the Database Columns dropdowns.
  8. Click Review Data.
  9. Click Import Data Now.

After the Import Data Now button has been clicked, the page will reload and change the checkboxes in the far left column to OK.


Error when uploading

If you receive any kind of error when uploading the datasheets, please click Send Error and submit a Submit Data for Upload Support Ticket with the datasheet in question attached. A member of the finalsite team will review the datasheet and the error and then upload the remaining portion of the datasheet into your site.

Athletic syncs

The finalsite Athletics Manager has the ability to sync with Schedule Star (HighSchoolSports.net) and CIAC. If your site is set up to syncs with one of these providers, then the uploads do not apply since the information is being pulled in from the provider.
