This article provides ready-to-use communication templates for introducing a new parent portal to the school or district community, including a launch announcement, an evergreen "how to access the portal" reference, and a follow-up reminder for families who haven't logged in yet.
💡Quick answers
- Which template should be used? Templates A–C are for announcing a new portal. Templates D–E are for ongoing use once the portal is live. Most districts will use more than one.
- What login address should be filled into the template? In most cases it is the district's website address followed by /login (for example, www.yourdistrict.org/login). If an Account element has been placed on a specific page, that page's address can be used instead. See "Portal user login help" to confirm.
- Should the letter include step-by-step login instructions? Keep them brief. The sign-in experience varies by district, so these templates link families to "Portal user login help" rather than repeating steps that may not match every setup.
- Can these templates be used in an email, on a website, or in a newsletter? Yes. The text is designed to work in any format. Copy the version needed and fill in the bracketed fields.
Before using these templates
- Confirm the portal pages are published and that a landing page has been assigned for each role families will use. Users without an assigned landing page are directed to the Home page instead. See "Set portal (role) landing pages."
- Confirm which sign-in experience families will see, since this determines whether options such as Google sign-in should be mentioned. See "Portal user login help."
- Test a sign-in using a parent-role account and confirm the correct landing page loads before communicating with families. See "Portals overview" for previewing a portal as a specific role.
- Identify who families should contact for account problems. Account and credential issues are handled by district staff, not by Finalsite. Name a specific person, department, or help address in every template.
- Replace all text in [BRACKETS] with district-specific information before sharing, and remove any italicized instruction lines.
