Chat for Chat managers: Manage chat room membership

This article covers how to manage chat room membership as a Chat Manager in Finalsite Chat, including how to check membership against a class roster, add or remove participants, and recognize when a mismatch needs an admin's help to correct.

This article covers day-to-day room management for Chat Managers: checking a room's membership, adding or removing participants.   • Where is the member list for a chat room? Open the room and select the room name at the top to open Chat Settings. The Members section lists everyone currently in the room.
  • How is a member added to a room? In Chat Settings, select + Add members, check the box next to each person to add, then confirm. New members gain access to all existing chat history and shared files.
  • How is a member removed from a room? In Chat Settings, under Members, select the person's name, then select Remove from the room and confirm.
  • Will removing someone from a room keep them out for good? Not necessarily. If the room is dynamically tied to a group, the person can be added back automatically at the next sync unless the underlying group membership is also corrected.
  • Who can manage room membership? Chat Managers can add and remove members from rooms they manage. District and school admins can manage membership across every room.

Open chat in the mobile app

District and school admins configure room names and organization ahead of time. Contact a site admin with questions about how a specific set of rooms is structured.


Check membership against a class roster

Before adding or removing anyone, check the room's member list against the class roster to confirm whether someone is missing or does not belong.

  • Step 1: Open the chat room, then select the room name at the top.
  • Step 2: On the Chat Settings screen, review the Members list.

If someone is missing or does not belong, use the steps below to add or remove them. If that does not resolve the mismatch, see "Handle a room that doesn't match the roster" below rather than repeating the add or remove steps.


Add a member to a chat room

  • Step 1: Open the chat room and select the room name at the top to open Chat Settings.
  • Step 2: Select + Add members. Search by name or scroll to find the person to add, then check the box next to their name.
  • Step 3: Select + Add members again to confirm.

⚠️ Important Note

A new member gains access to the room's full message history and every file already shared there, not only messages sent after they join.


Remove a member from a chat room

  • Step 1: Open the chat room and select the room name at the top to open Chat Settings.
  • Step 2: In the Members section, select the person's name.
  • Step 3: Select Remove from the room, then confirm.

⚠️ Important Note

Removing someone from a dynamically synced room addresses the room only, not the underlying data. If the person still holds the group membership that placed them there, they can be added back automatically at the next sync. For a genuine departure, correct the source data, or ask an admin to check the person's status in Constituent Manager.


Handle a room that doesn't match the roster

If a mismatch persists after adding or removing members, the cause is usually a change to a family's or staff member's record in Constituent Manager that has not fully worked its way through yet, rather than anything wrong with the room itself. This is common after someone is deactivated or deleted, or after a family relationship changes.

Ask a district or site admin to check the person's status. If needed, an admin can run a full chat re-sync to correct the room. This is not a step a Chat Manager can take directly, since it rebuilds membership across every room, not only the one in question.
