How this works

Athletic team Chat Rooms live inside Academic Classes in Groups Manager. Each team is a group, and group membership determines who appears in the Chat Room.

There are two parts to the setup:

  • Step 1: Create the team groups in Academic Classes (Groups Manager) - either by bulk upload or manually.
  • Step 2: Add members to each group - either automatically through dynamic filters or manually through the Chat interface.

Before starting

Confirm these requirements are in place:

  • Athletics Manager is included in the contracted Finalsite services.
  • Athletics Manager is populated with current team rosters.
  • Academic Classes are enabled by your Finalsite representative.
  • The admin completing this setup has a District Admin or School Admin chat role.

Step 1: Create team groups in Academic Classes

  • Step 1: In the CMS, navigate to Group Manager > Add Group.
  • Step 2: Enter the Group Name only, then click Create Group.

The system generates an Import ID automatically when the group is created. 

⚠️ Important Note

Group ID, Period, School Year, and Location are not required.


Step 2: Add members to team Chat Rooms

Once team groups are created, coaches and students need to be added as members. There are three ways to manage this.

Option How it works Best for
Dynamic filters (recommended) Membership syncs automatically from Athletics Manager. When rosters change, Chat Rooms update without any manual steps. Most teams; rosters that change during the season.
Manual (in-app) Chat Managers add and remove members directly in the Chat interface. There is no connection to Athletics Manager. Stable rosters; rooms with special membership needs.
Hybrid Some members added via dynamic filters; others added manually. Manually added members must be managed manually and do not update automatically. Rooms with mixed membership needs.

Configure dynamic filters (recommended)

Dynamic filters connect each Academic Classes group to the corresponding Athletics Manager team. Two filters are required per team: one for coaches (assigned as Admins) and one for students (assigned as Members).

  • Step 1: In the CMS, open Groups Manager and select the team group created in Step 1.
  • Step 2: Navigate to the dynamic filters settings for that group.
  • Step 3: Create an Admin filter targeting coaches from the matching Athletics Manager team.
  • Step 4: Create a Member filter targeting students from the same team.
  • Step 5: Repeat for each team group.

⚠️ Important Note on Membership requirements

  • A team Chat Room will not appear in the Chat interface unless the group has at least one coach (Admin) and at least one student (Member). Groups with only coaches or only students are not pulled into Chat.
  • Members added manually - outside of dynamic filters - must be managed manually. They do not update when the Athletics Manager roster changes.
  • When using a hybrid approach, keep track of which members were added manually so they can be updated when rosters change.

Access a team Chat Room (coaches and students)

Once the admin has created the Athletic Team Chat Room and the roster sync is active, the room appears automatically for members in the Finalsite mobile app.

  • Step 1: Open the Finalsite mobile app and log in.
  • Step 2: Tap the Chat icon in the bottom toolbar.
  • Step 3: The team room appears under Chat Rooms. Tap it to open and start messaging.

If the team room is not visible, contact the school or district admin to confirm the roster has been synced and the Chat Room is active. Chat requires users to be logged in. The room will not appear for guest users.
