Update existing data in bulk in Constituent Manager

This article assumes that you are an existing user of Constituent Manager and have data already populated to reflect your constituents. You will learn here how you can update constituent data in bulk that already exists in your system. This is something you can do all by yourself!

Common Tasks in Constituent Manager


Before you begin, make sure you see the Import Data option in Constituent Manager > Settings.

Step 1: Understand upload behavior

  • Data uploads will only add or change existing information.
  • They will not delete users or existing information.

Step 2: Export current faculty

This step involves going into Constituent Manager settings to export and download a list of your existing data. Here’s how to do this:

  1. Navigate to Constituent Manager > Settings.
  2. Select Export Data in left navigation.
  3. Choose Faculty & Staff (or whichever Role you would like to export) from the dropdown menu.
  4. Updated Since field should remain blank unless you'd like a specific date range.
  5. Click Compile Export.
  6. Click Export to Excel to generate an Excel file.

Step 3: Prepare and save your file

You will now add or change the data that exists on this Excel file.

  • Open the Excel file in your favorite spreadsheet software, such as Google Sheets or Microsoft Excel.
  • Add New Users: Add any new people to the bottom of the list.
  • Highlight the entire row in red to indicate the following:
    • Mark Users for Removal: Highlight the row in red for any users which should be removed from the system.
  • Save the file type as: 
    • .XSLX: Will you submit marked users for removal? Save as an .XLS or .XLSX file type with your organization’s name and the role (e.g. "Finalsite Faculty") and send your .XLSX file to Finalsite Support in a request
    • .TXT: Will you import the datasheet yourself? Save as .TXT and go on to Step 4

Step 4: Import newly updated data into Constituent Manager

  • Return to Constituent Manager > Settings.
  • Select Import Data in left navigation.
  • Click on an available Uploader.
  • The Import Constituent Data window will open up. Click Choose File.
  • Choose your .TXT file.
  • Once attached, click Import Data.

Step 5: Confirm the accuracy of your new data

Once you have received the email notification that your new data has been populated, it's important to check the accuracy of your edits populating from the datasheet.
