Add recipients to a List

The Lists feature is an area within Messages and Messages XR where you can create lists of recipients in order to send out targeted communication. This article will show you how to manage those List subscriptions, including how to subscribe, unsubscribe and resubscribe recipients to your lists.

Start by navigating to the mailing list you want to edit. Click on the Add Subscriber button to begin adding users to the list.

On the window that pops up, you'll see the four options where you can add subscriber(s).

Subscribe recipients > Constituent

The first tab is to add members from Constituent Manager. Choosing this option allows you to add a single subscriber at a time.

  • Start typing the user’s name. Any users who match what you type will begin appearing in the auto-complete list below.
  • Click on a single user to select them for addition to the list.
  • Use the buttons to add the user’s Primary email address (recommended), or a specific alternate email address.

Subscribe recipients > Group

The second tab allows you to add subscribers by Group, pulling from existing groups created in Group Manager.

How it works

  • Click Group on the Add Subscriber window.
  • Use the Select Groups button to choose one or more groups or roles that will be added as recipients to the list.
  • Users are not added to lists until you click the Add button on this window.
  • You can remove a group filter from a list; however, anyone who has unsubscribed from the list will remain as unsubscribed so they cannot accidentally be re-added to that list.

Important Effects of Dynamic Subscription

If the Add as dynamic subscription checkbox is checked, the list will dynamically update as the group's membership changes. When adding a new person into a group, they will be automatically added to this list! 

  • Members with a mobile phone number in their profile are automatically opted-in to receive SMS text messages.
  • Members with an email address in their profile are automatically opted-in to receive email messages.
  • The list updates dynamically with group membership changes.
    • New users who join the group will be automatically subscribed to the mailing list.
    • Users who are removed from the group will be automatically removed.
  • The list updates: 
    • when the group is saved
    • nightly
    • before sending a message

Subscribe recipient(s) > Contact

The third tab allows you to add subscribers by Contact. You can add ten or less subscribers this way. Contacts are individuals who are not part of Constituent Manager.

How it works

  • Click the Contact tab on the Add Subscriber window.
  • Enter the contact's Email address (required), last name and first name.
  • Click the Add Another Contact link to add a new row to add more contacts at the same time.
  • If you have more than 10 contacts to add, use the Upload tab instead.

Subscribe recipients > Bulk static upload

Unsubscribe recipient(s)

When viewing the subscriber list, click the " - " button at the right-hand edge of a subscriber's entry to unsubscribe or remove this person.

Confirm the unsubscribe.

The user will remain on the list, but their status label will turn red and they will no longer receive any messages sent to it.

Important Note

When you unsubscribe a constituent who was added to a list from a group, remember that this won't affect their group membership at the original source. This person may still receive messages sent to other lists that this group is attached to. 

Resubscribe or unsuppress someone previously unsubscribed

Want to resubscribe or "unsuppress" someone that had been unsubscribed? Unsubscribed users can be resubscribed by clicking the " + " button to the right of their names.
