This article covers how the Aeries integration works in Finalsite, including what data syncs from Aeries and what happens to the connection each year when Aeries rolls over to a new database.
💡 Quick answers
- What does the Aeries integration do? It syncs student, parent and guardian, and staff records from Aeries into Finalsite so that information stays current without manual entry.
- Where does the synced data go? Into Constituent Manager, where it powers portal account access and message recipient groups.
- Why would the sync stop working at the start of a school year? Aeries creates a new database each academic year, and the connection needs to be repointed to it. See Troubleshoot Aeries sync errors.
- Who sets this up? Finalsite Support configures the sync together with the school's Aeries administrator.

What this integration does
Finalsite's Aeries integration keeps constituent records in Finalsite aligned with the data already maintained in Aeries. Instead of school staff entering or updating student, parent, and staff information twice, the sync pulls it from Aeries on a regular basis and updates the matching records in Finalsite.
What data syncs into Finalsite
The integration syncs core constituent information, including:
- Student records: demographic and enrollment information used to build and maintain portal accounts.
- Parent and guardian records: contact information and relationships to enrolled students.
- Staff and faculty records: employment and role information used for admin and portal access.
The annual database rollover
Aeries creates a new database each academic year. For districts connecting through Connect or MN/MXRE using VBScripts or Datalink, the connection needs to be repointed to the new database once it exists. This is expected to be handled by the district's own IT staff. See Troubleshoot Aeries sync errors for the exact steps.
Where synced data is used
Once synced, this data feeds Constituent Manager, which in turn supports portal account access and message recipient groups. A student or parent who is missing or out of date in Aeries will show the same gap downstream in Finalsite, including in Message recipient lists and, in some cases, Chat room membership. A separate article, Fix message recipient group and distribution issues, covers that downstream troubleshooting in more depth.
