Translate automated attendance alerts

Automated attendance alerts are now possible with Finalsite’s Messages XR. You can even translate your alerts to ensure that each recipient is fully included in your messaging.

Automated Messages is in the early adopter phase as a Messages XR add-on product. Contact your Client Success Manager or email clientsuccess@finalsite.com to learn more about how to get started. 

To navigate to the Automated Messages module, open up Messages and select the Automated Messages tab.

Set languages during your integration process 

The Languages dropdown is populated by all of the languages included in the constituent data and spoken by the school population. Click on an individual automated message, then find the Languages dropdown on each of your available channels (Email, SMS, or Voice.)

Write your Message Content in English

Locate the Message Content area where you will enter the text of your Email message.

  • Email Details: Click the toggle next to Email Details.
  • Message Content: Enter your text in the Message Content box. 
  • Merge Tag: As you enter text, click on the Merge Tag button to personalize your message with merge tags. For guidance, learn more in our article, "Customize automated attendance alerts with merge tags" where you can also find sample messages to copy and paste.
  • Attendance Codes: Confirm and preview attendance descriptions with the Edit Attendance Codes button which displays on all channels with each language included. For a quick start, Copy and paste sample automated messages into your first automated message!

Important note

Translations of the Description may only be translated one time. Any changes to the Description after the initial setup of the codes will not auto-translate into the other languages.

Select languages for translation

  • Choose from the language options listed in your Languages dropdown on each channel in the Automated Messages module.
  • Click the + to include a language.
  • If no Message Content has been written, a modal will pop up reminding you to first enter the English version of your message.

Translate email, SMS, and voice messages

Translate email message details

Choose the languages to apply to this email message after the Message Content has been added. Here’s what will be translated in the Email Details window:

  • Subject Line
  • From Label
  • Message Content
  • Attendance Category Code descriptions
    • Note: The actual codes themselves will not be translated but will stay consistent across all languages.

Click Preview Message to test out the message content in Preview Mode as your recipients will see.

Choose the option to Retranslate as needed should you change the Message Content at any point.

How to retranslate your Message Content

  1. Update the English version of the Message Content by adding or deleting text as needed.
  2. Return to your Languages dropdown to refresh the screen into each language
  3. Once in a chosen language, select the Retranslate button to ensure that the updates are retranslated and included.
Translate SMS message details

Translate your automated message in the SMS channel. In the SMS tab, toggle on next to SMS Details to include the SMS channel in your send. Here is how to translate your message into your preconfigured languages:

  • Write the text of your message in the SMS Message box.
  • Personalize your message with the Merge Tag button which allows you to place merge tags into your message. Each merge tag counts as 25 characters in the SMS Message channel.
  • Keep your SMS Message below 160 characters.
  • Click Update to save your message text.
  • Confirm attendance descriptions by clicking the Edit Attendance Codes button.

Important note

Any changes you make in the Attendance Codes area of the channel tabs will not be reflected in all areas of the message. Changes must be made in the original Attendance Codes area on the top left of Automated Messages dashboard to be configured in all areas.

  • Click the + next to a language to translate your message into that language. When the green checkmark shows next to a language, select the language to preview the SMS Message in that language.

Translate voice message details

Translate your automated messages in the Voice channel. In the Voice tab, toggle on next to Voice and follow these guidelines on how to configure an automated Voice message:

  • Write your message in the Text-to-Speech Message box.
  • Personalize your message with the Merge Tag button which allows you to place merge tags into your message. 
  • Keep your message content below 2000 characters
  • Click Update to save your message text.
  • Confirm attendance descriptions by clicking the Edit Attendance Codes button.

Important note

Any changes you make in the Attendance Codes area of the channel tabs will not be reflected in all areas of the message. Changes will need to happen in the original Attendance Codes area to be configured differently.

  • Click the + next to a language to translate your message into that language. When the green checkmark shows next to a language, select the language to preview the SMS Message in that language.

Text-to-Speech is currently the only way to send an automated Voice message.
