Once you are all set up in New Calendars module, you'll need to learn how to manage some common tasks on a day-to-day basis. This article will go over some of the most common tasks to help you manage your calendars and events.

Once your calendars are created and events showing up in your calendar panel, manage your events in an ongoing way as the school year continues on. Here are some management tasks to help you out!
Manage event details
Standard Calendar Event details: Click on the event in the calendar panel of the Calendars module dashboard to open the Edit Event window. Change any of the details before clicking Update and saving your changes. Changes will be displayed anywhere you have connected this calendar in a Composer Calendar element.
Live Event details: Edit event details for Live calendars at the original source. Any edits will be synced to your Calendars module and displayed calendars in Composer.
Exception Event Details: Click on the event in the calendar panel of the Calendars module dashboard to open the Edit Event window. Change any of the details before clicking Update and saving your changes. Changes will be displayed anywhere you have connected this calendar in a Composer Calendar element.
Important Note
It is not possible to edit event details for Live events in the Calendars module.
Delete events
Delete Standard Calendar Events: Click on an event. In the top right corner is a trash can where you can easily delete the event.
A window will pop up asking “Are you sure” and allowing you one last chance to consider your action. The event will automatically be removed from Calendars module and also from any Calendar Element.
Delete Live Calendar Events: As with managing and creating events, any events needing to be deleted need to happen in the original source.
Delete Exception Calendar Events: Click on an event. In the top right corner is a trash can where you can easily delete the event.
Important Note
It’s not possible to delete Live Calendar events in the Calendars module.
Configure and adjust settings
There are two types of settings you can adjust as the school year goes on: Folder settings and Calendar settings.
- Folder settings apply to all calendars within that particular folder.
- Calendar settings are more granular and only pertaining to that individual calendar.
Folder settings
To open Folder settings, hover over a Folder name until the 3-dot More menu appears. Click to open and configure the following settings:
- Add Calendar: Add a new calendar directly into this folder.

Settings: Adjust Folder settings.
- Folder settings > General tab: Change the Folder name or Set the Location.

Folder settings > Permissions tab: Set Folder level permissions. Learn more in the article, "New Calendars module permissions" by clicking on the Folder Tab.
- Delete Folder: Removes this folder and all its contents from the New Calendars dashboard.
Calendar settings
Before you can configure your Calendar settings, determine if the calendar whose settings you want to adjust is a Standard Calendar, Live Calendar, or Exception Calendar.
Configure Standard Calendar Settings
Once you Add your Standard Calendars, you may need to configure or adjust the settings. Hover over a Standard Calendar until the 3-dot More menu appears. Click to open up the options: Add Event, Settings, and Delete Calendar.
- Add Event: Add an event directly to this calendar.

Settings: Open up and configure Calendar settings.

Calendar settings > General tab:
- Calendar name: Make edits to your Calendar name.
- Folder: Move to a new folder.
- Calendar Type: This cannot be changed once the calendar is created.
- Integrate Calendar: Use this address to access this calendar from other applications.

Make available to public: Checking this box allows for three important effects:
1) this calendar can now be visible on a mobile app,
2) this calendar can be subscribed to by visitors, and
3) this calendar can be connected dynamically in created Messages.
- Calendar settings > Permissions tab: Set Individual Calendar level permissions. Learn more in the article, "New Calendars module permissions" by clicking on the Individual Calendar tab.

Calendar settings > General tab:

Delete Calendar: Delete this calendar and all of its events and settings. A confirmation message will pop up to make sure you understand that it will be deleted.
Configure Live Calendar Settings
Once you Add your Live Calendars, you may need to configure or adjust the settings. Not sure which calendars are Live Calendars? A Live Calendar will have a link icon next to it. Click the 3-dot More menu to open up a calendar and view its Calendar Type in the Calendar settings. Now let's configure the settings!
Extra Setting: Refresh Calendars
Do you see an extra setting when you are configuring your Live Calendar settings? Look at this section below to learn how you can choose the Refresh option to push a manual calendar sync if in between the automated sync times.
- Add Event: This option is greyed out because you can only Add Events at your original source of your calendar.

Refresh Calendar: Select this option to manually push a sync of this calendar.
Important Note
Event sync time depends upon the number of events. Please refresh the page after a few minutes to see the changes.

Calendar settings > Settings tab: Open up and configure Calendar settings.

General tab:
- Calendar name: Make edits to your Calendar name.
- Folder: Move to a new folder.
- Calendar Type: This cannot be changed once the calendar is created.
- Live iCal URL: View / Copy / Paste the Live iCal URL.
- Integrate Calendar: Use this address to access this calendar from other applications.

Make available to public: Checking this box allows for three important effects:
1) this calendar can now be visible on a mobile app,
2) this calendar can be subscribed to by visitors, and
3) this calendar can be connected dynamically in created Messages.

Once you Add your Exception Calendars, you may need to configure or adjust the settings. Click the 3-dot More menu to open up a calendar if you need to review its Calendar Type in the Calendar settings. Click to open up the options: Add Event, Settings, and Delete Calendar.

Important Note
Exception Calendars only work alongside Standard Calendars. It's not possible in New Calendars to use an Exception Calendar to override events with a Live Calendar.
Move and reorganize calendars in folders
Move calendars around in your folder system as you get settled. To move a calendar into a new folder, open the 3-dot More menu for that calendar to open up the Calendar settings.
In the Calendar settings window, click into the Folder dropdown and select a different folder where this calendar will live. Click Save and the Calendar will now be moved into the newly-selected folder.
Adjust permissions
Permissions for the Calendars module may need to be adjusted as the year goes on and staff transitions take place. Permissions can be set on three different levels, allowing for very specific access to be granted according to the roles and responsibilities of your admin users. These three levels are: Global, Calendar Folder, and Individual Calendar. Read more about how these work in the article, “Calendars module permissions”.
