Calendar Manager to New Calendars module: Why Migrate + FAQs?

The new Calendars module is a worthy successor to legacy Calendar Manager. Our developers created it with the intention to keep and improve the features you love as well as deliver a streamlined experience for admins and users alike. This article will describe the migration process over to New Calendars module. 

  Ready to get started with New Calendars? 

We're excited to share our updated plan and timeline for transitioning to the New Calendars module. Thank you for your patience and support as we work to make this migration smooth. Although our original timeline has shifted, we're confident this revised plan will ensure a successful rollout.

  • Now – June 2025: Seeking 100 clients for early migration. Due to the large volume of requests received, the form has been disabled. If you are selected, expect us to reach out before the end of June with next steps.
  • July 2025 - December 2025: Clients not selected for early migration can initiate their own fully automated migration. We'll reach out with more details.
  • January 2026: All clients can initiate their automated migration.
  • August 31, 2026: End of Life for Calendar Manager. Remaining clients will be migrated.

Which calendar module do I have now?

Before you begin, it's important to know which calendar module you currently have. Here is a visual side-by-side comparison in case you are wondering! You may already have New Calendars module and not need to migrate.

Migration FAQs

Why Migrate?

There is an easier, more streamlined way to manage the events that display on your site, whether on your homepage events spot or a grid view on an interior page. While all of this is possible with Calendar Manager, you will find the new process of uploading and managing your events to be more intuitive and simpler, including:
  • event creation
  • sharing to multiple calendars at a time
  • managing / switching between calendars
  • setting calendar permissions for teammates, whether global (large-scale) or granular (more limited), who will help manage your events alongside you

When do we migrate? 

You can migrate whenever you are ready. The splash page (add link) includes all of the introductory details and info you need, including pre- and post-migration checklists. 

What data will be migrated over? 

Certain data that exists in Calendar Manager will be automatically moved over to New Calendars module.

  • Calendars: Calendars will be moved over with a slightly different naming convention. 
    • Live calendars → Live calendars: Any Live calendars that had lived in Calendar Manager will be moved to New Calendars module with the same terminology.
    • Normal calendars → Standard calendars: Did you have any Normal calendars in Calendar Manager? They will be migrated over and now be called a new name of “Standard calendars” but will work the same way.
    • Exception calendars → Exception calendars: Any existing Exception calendars will be moved over and retain the same name of Except calendars.
  • Folders: Calendars will now be organized into Folders instead of groups. Learn more at "Add folders to stay organized."

What action(s) do I need to take to get started?

What tools are available to help me after the migration is over? 

Here are two checklists for you to use: a Pre-Migration Checklist and a Post-Migration Checklist that will help you in the following ways: 
  • target the tasks to do before starting the migration. 
  • pinpoint which areas to cross-check and confirm accuracy.
  • know what to do if things don't look as expected. 

Side-by-Side Product Features Guide

With a migration from an older product to a newer, enhanced version, there are changes to be aware of. This table gives you a side-by-side comparison of the two products, along with any tasks that might need your attention along the way.

Normal and Block calendars will be labeled “Standard”.

Groups

Calendars are organized in groups. Calendars are organized in folders.

Folders will carry the same name as the groups, and calendars will move into their respective places. Any ungrouped calendars will move into a folder named “calendars.”

Categories, Icons, and Labels.  Calendars may be defined with an icon or color.

Color-coded Labels are used.

Icons will migrate to the default color of gray.
Colors will remain.

Confirm the Calendar Settings > Label color for individual calendars should you wish to differentiate between calendars.

(App Settings)

3 options:
None: Visible in an element on the website, but not in the mobile app.
Public: Visible in an element on the website and in the mobile app.
Role-based: Visible in an element on the website and in the mobile app only to logged in users.

The same three options are available.

Calendars will migrate with the defined settings.

✅ TO DO ✅ These options can be updated in Calendar setting > General tab checkbox next to "Make available to public."

RSS Feeds + iCal subscriptions RSS/iCal feeds are subscribed to by parents. RSS/iCal feeds will mirror what is in Calendar Manager. ✅ TO DO ✅ Be sure to not update any events in Calendar Manager. 
Groups Permissions were only assigned per calendar, not by group. Permissions can now be assigned by folder and all calendars will inherit the rights. And permissions can be assigned by individual calendars.

Calendar permissions will migrate into the folder.

✅ TO DO ✅ Confirm New Calendars permissions are set at the right level for each admin user.

Multi-Day Events

Represented as single events across multiple days. Multiple-day events exist in New Calendars module.  ✅ TO DO ✅ Confirm the START and END date of each of your recurring events to confirm accuracy.

Notes and Description

Notes and Description fields are used in events. Only a Description field is used.

Notes from Standard calendar events will not migrate.

✅ TO DO ✅ BEFORE migration, submit a request to Finalsite Support to have your Notes moved over in bulk into the Description area of events.

Recurring Events Recurring events may exist.  Recurring events also exist.  ✅ TO DO ✅ Confirm the START and END date of each of your recurring events to confirm accuracy.
Sharing Events

 

This ability doesn't exist in Calendar Manager. There is a share event level that can be adjusted on Standard calendars. See Connect and create events > Standard tab > "Share event to" for more details.  ✅ TO DO ✅ Click on migrated Standard events to adjust an Event's  "Share event to" level to Read-only or Full-edit. Once a calendar is selected, sharing mode can be adjusted.
